Preparation over the Summer

Some of you may need to do a certain amount of preparation over the summer, for instance in procuring guest speakers.  The CSC opens periodically over the Summer months, i.e. from the beginning of June until the second week September - 10a.m. - 2p.m. and reverts to normal after that.  This gives you plenty of time to prepare stuff for Freshers' Week and to order membership cards.  Full details of opening hours will be made available prior to the Summer.

Membership Cards

If you give Emma an idea of what you require, she will do something up and get it printed for you.  The cost of this will be deducted from your grant allocation, so no real money is required.

Posters

In order to be permitted to put posters up in College, you MUST advertise your society name.  The standard poster size for College is A3.  These may be printed and photocopied in the CSC Office. But we would draw your attention to postering regulations.

Letterhead

If you wish to use a letterhead for your society you should set one up in Word as a template and save in your Society folder on the CSC Computers.

Amenities and Furnishings

Most fully recognized societies have the use of a room (usually shared with two or three other societies).  These rooms should be functional and comfortable.  If you need equipment or furnishings, you should go to www.csc.tcd.ie/grant_app and login with your society username and password.  Go to "Submit Amenities Request" and fill in the details of your requirements.  The Amenities Officer will deal with each request as a separate issue - in some cases he may buy the item required for you, in others, he may authorize you to buy it and reclaim the money from CSC.  The kind of things you might be looking for … Amenities - kettle, cups, spoons, etc. and Furnishings - chairs, tables, filing cabinets, lockers, etc.  Please be as detailed as possible about your requirements, e.g. dimensions, make or model.  This will allow a speedy provision of your request.

If you need to clear stuff out of your room, please label everything to be got rid of and ask the Amenities Officer to organise disposal through the Amenities Request form.  If you have any questions you can email amenities@csc.tcd.ie.

Keeping Society Records

The CSC is keen to encourage societies to keep accurate records and memorabilia pertaining to each society.  Please ensure that you have the facilities to do this.  You may apply for minutes books on your grant, and the CSC will provide you with a filing cabinet or lockable cabinet.  Although each society should furnish the CSC with annual reports and these are kept in the CSC Office, such items as minutes of society meetings, posters, programmes, invitations, etc. will not find their way to the CSC.  It will be of interest and benefit to future generations of your society, if you can leave a decent archive of material, so please bear it in mind.

Insurance

It is important that any items which are valued at over €130 be covered by our insurance, so please make sure that we have details and replacement values.  There is a section at the end of the grant application form where this information can be included, but remember if you buy equipment during the year, to inform Lucy in CSC.

Freshers' Week

Societies may set up desks during Freshers' Week in order to attract new members to join.  CSC does not fund Freshers' Week activites, so any banners, stands, bunting, etc will have to be covered by your own funds, or by sponsorship.  Take care not to publicise "Free drink" or "Massive receptions", etc in order to keep in line with the alcohol policy of the College.  You are also not permitted to give out alcohol from the stand.  For the Alcohol policy click here.
